How to Issue Standard e-Invoice

Overview

Standard e-Invoice is the most commonly used type, applicable to both B2B and B2C sales transactions. In AIAccount, once a sales invoice is created, it automatically appears in the e-Invoice module and can be submitted to LHDN and sent to your customer in just a few steps.

Steps to Issue an e-Invoice

Step 1: Create a Sales Invoice

In AIAccount's "All Sales" module, click "Add New Sale" to create a new sales invoice. Fill in the customer details, item descriptions, and amounts.

Step 2: Configure Classification Codes

Go to the MY E-Invoice module. In the Revenue Account and Inventory Account tabs, select the correct LHDN Classification Code for your accounts. The default code is 022 — Other.

If an item does not require an e-Invoice, select the classification code "EXMPT — Exempt from e-Invoice".

Step 3: View Pending Invoices

After creating the sales invoice, it will automatically appear in the MY E-Invoice Submitted tab with a Pending status.

Step 4: Review and Fix Errors

Filter for invoices with Pending status. If any warnings appear, click on them to view error details and make corrections. Ensure that both the ID number and TIN number fields are filled in for the contact.

Tip: If the customer is an individual using only NRIC or TIN, the other required field should be filled with the recommended default number per LHDN guidelines.

Step 5: Send e-Invoice

Once everything is correct, select the invoices and click "Send E-Invoice". The system will automatically submit to LHDN and send to the customer.

Alternatively, click "Send E-Invoice for All Pending Sales" to automatically send all error-free pending invoices.

Step 6: View Invoice Status

After successful submission, you can view the public e-Invoice link at the top of the invoice details page.

Step 7: Export or Resend

In the Submitted tab's action column, you can:

  • View the public e-Invoice link
  • Export the e-Invoice as a PDF
  • Resend the e-Invoice email to the customer

Important Notes

  • Manual Journal entries do not generate automatic e-Invoices — use the Manual E-Invoice tab if needed
  • If the customer's email is provided, the system will automatically send an e-Invoice email notification
  • Customers will receive your e-Invoice in their MyInvois Portal
